Digital Signature Disclosure

1. Scope and Purpose

This Digital Signature Disclosure (the "Disclosure") explains how Maven Mule and its digital signature services ("Doctavian", "Maven Mule", "we", "us") enable, process, and record electronic signatures and electronic records. It describes your rights and obligations when you sign documents electronically.

By using Doctavian and/or Maven Mule’s electronic signature services and by signing a document electronically, you agree that your electronic signature has the same legal effect as a handwritten signature, to the fullest extent permitted by applicable law.


2. Consent to Use Electronic Records and Signatures

By clicking "I Agree & Continue" or by otherwise proceeding with an electronic signature, you:

  • consent to the use of electronic records and electronic signatures
  • agree that electronic signatures may be used to execute documents provided through the service
  • confirm that you can access, read, download, and retain electronic records provided through the service. 

Use of electronic signatures is voluntary. Where permitted by applicable law, you may choose alternative methods of execution by contacting the document sender before signing.

Please note that the legal recognition and enforceability of electronic signatures may vary depending on the applicable law, jurisdiction, and the nature of the document.


3. Types of Electronic Signatures

Doctavian and Maven Mule supports multiple types of electronic signatures, including:

  • Simple Electronic Signatures (SES);
  • Advanced Electronic Signatures (AdES / AES);
  • Qualified Electronic Signatures (QES), where available and expressly requested.

The legal effect of a particular electronic signature may depend on the signature type used, the applicable law, and the requirements of the transaction. Where a document requires a specific type of electronic signature, this will be indicated during the signing process.


4. Identity Verification and Authentication

To create a binding electronic signature, Doctavian and Maven Mule use one or more identity verification or authentication methods, as determined by the document sender or the signing workflow. These methods may include email verification, one-time passwords (OTP), SMS verification, identity provider login, government-issued electronic identity solutions, or certificate-based authentication.

The authentication method used for a specific signing session is recorded as part of the audit trail. The sufficiency of any authentication method depends on the applicable law and the type of electronic signature used.


5. Audit Trail and Evidence

Each electronic signature transaction is accompanied by an audit trail designed to provide evidentiary support and integrity of the signed record. The audit trail may include:

  • document identifiers and version information
  • date and time of signing (UTC)
  • signer identifiers (such as name, email address, or user ID)
  • IP address and basic device or browser information
  • authentication method used
  • cryptographic signature or seal information, where applicable.

The audit trail forms an integral part of the signed record and may be used as evidence in legal or regulatory proceedings.


6. Access to Records and Paper Copies

You have the right to access, download, print, and retain a copy of any electronically signed document and its associated audit trail.

If you require a paper copy of a document or record that was provided electronically, you may request one by contacting the document sender or Maven Mule using the contact details provided below. Requests for paper copies may affect the ability to continue using electronic signing for future documents and may be subject to additional processing time or requirements.


7. Withdrawal of Consent

You may withdraw your consent to use electronic records and signatures at any time by contacting Maven Mule or the document sender.

Withdrawal of consent will not affect the legal validity or enforceability of any documents signed electronically before the withdrawal, but may prevent you from using electronic signatures for future transactions.

Where retention of signed records is required by law or for evidentiary purposes, such records will be retained in accordance with applicable legal obligations.


8. Post-Signature Confirmation

After completing the electronic signing process, you will receive an electronic confirmation, along with a copy of the signed document and its audit information, where applicable.


9. Technical Requirements

To access and retain electronic records, you must have:

  • a device with internet access
  • a modern web browser
  • the ability to view electronically signed PDF documents
  • a valid email address or other contact method required for verification.

If you are unable to access or retain electronic records electronically, you should request a paper copy before signing.


10. Security and Integrity

Maven Mule applies technical and organizational measures designed to protect the security, integrity, and authenticity of electronic records and signatures, including cryptographic protections, secure transmission, access controls, and logging.

While reasonable measures are taken to protect electronic records, no electronic system can be guaranteed to be completely secure.


11. Privacy and Data Protection

Personal data processed in connection with electronic signature transactions is handled in accordance with applicable data protection laws and is described in the Privacy Policy for Digital Signature Users, which forms an integral part of this Disclosure.


12. Governing Law and Legal Effect

Electronic signatures completed through Doctavian and Maven Mule are intended to be binding and enforceable to the fullest extent permitted by applicable law, including electronic signature and electronic records legislation in the relevant jurisdiction.

This Disclosure does not alter or replace the governing law or jurisdiction provisions agreed between the parties to the underlying document.

The enforceability of an electronic signature is determined by the governing law applicable to the underlying document.


13. Language

This Disclosure is provided in English. By proceeding with the electronic signing process, you confirm that you understand the language of this Disclosure.


14. Changes to This Disclosure

This Disclosure may be updated from time to time. The effective date of the current version will be indicated above. The version in effect at the time of signing will be recorded as part of the audit trail.
